TRAINERS: Submit TRAINERS Time Off Request Form. This is the only way to ensure you receive the time off you need.
STUDIO CARE COORDINATORS: Submit SCC Time Off Request Form to ensure you receive the time off you need. Before submitting your request, you must have secured a substitute for your time off.
We ask that you are mindful of the amount of time you take away from the studio. On average, trainers can take 10% of their total working days off per year without question from management. Management may reach out about time off that exceeds 10% of your total working days per year.
Please allow 2 weeks’ notice when taking time off so the team can notify and reassign your clients to another trainer. For leave of absence longer than 2 weeks, please give 3 weeks’ notice.
Studio Care Coordinators we ask that you are mindful of the amount of time you take off and offer support to your team to cover shifts when they are away. Studio Care Coordinators who give away 30% or more of their permanent shifts within any 120-day period may be asked to drop their permanent shift so others can pick up.

Equipment
Reformer in Neutral
4 Springs Attached
Sticky pad placed on top of springs
Weighted bar in the well
Straps placed on the hooks
Reformer Box placed on the back of the Reformer frame
Tower in Neutral
Both arm and leg springs attached
Roll back bar attached
Moon box on either side of Tower
4.5 weighted bar next to each Mat
Cadillac in Neutral
Both arm and leg springs attached
Roll back bar attached
Trapeze slid to the far end and hung over the top frame
Kuna boards & weighted bars placed on the bottom rung of the frame
All other miscellaneous props removed and placed in equipment cubbies
We want all our equipment to look "in alignment." Reformers must be in a neat row. The chairs, barrels, and Cadillacs should all be spaced well. The Equipment Cubbies must be orderly and the carts neat, tidy, and well stocked. The Magic Circles should be stacked neatly. Basically, any messy corner you see passing through the studio floors- should be tidied!
When not in use, we want all equipment to be put back to "neutral." This means that the equipment is left in the ready-to-use position with all its necessary accessories. (sticky pad, weighted pole, springs attached, etc..)
-
How this works:
If you notice an issue → submit the form immediately
Be specific about the equipment and its location in the room
If something is unsafe → remove it from use and mark it URGENT
Important:
Verbal reports are no longer sufficient
If it is not submitted through the form, it cannot be tracked or resolved efficiently
This process helps us fix issues quickly, maintain a safe environment, and stay ahead of equipment wear and tear. Thank you for your attention to this and for helping uphold our studio standards.

Three-Strike Policy
Three strikes related to lateness or no-shows may result in suspension or termination.
What Counts as a Strike
Arriving late after the scheduled shift or session start time without a valid exception
Arriving late in a way that causes a client to leave without being rescheduled within the same week
No-call / no-show
What Does Not Count as a Strike
You notify the studio in advance of your lateness
Please note: excessive lateness or repeated reliance on calling ahead may still be addressed by management and could result in schedule adjustments or the loss of a permanent shift.
Trainers notify the studio of their lateness and the client is still able to receive their full session
The client is rescheduled within the same week with an added hour to accommodate the missed time
Strike Earn-Back Policy
One strike will be removed for every four consecutive months without lateness or attendance issues.
